Position Overview

The Director of Operations is the organizational backbone of the company, responsible for overseeing daily operations, improving internal systems, and ensuring a high level of service to clients and agents. This role supports the leadership team by streamlining processes, managing administrative staff, and driving operational excellence across the business.

Key Responsibilities

Operations & Systems Management

  • Develop, document, and refine SOPs to support scalable growth

  • Implement and manage CRM systems, transaction management platforms, and lead-tracking tools

  • Ensure compliance with brokerage, MLS, and state real estate regulations

  • Maintain company databases, templates, checklists, and onboarding systems

Transaction & Listing Oversight

  • Supervise all contract-to-close processes to ensure accuracy and timeliness

  • Manage listing workflows, including photography, signage, MLS entries, marketing materials, and vendor coordination

  • Review files for compliance and quality control

Team & Agent Support

  • Onboard new agents and staff with training materials, tech setup, and process orientation

  • Serve as the primary point of contact for agent support regarding systems, documents, and office procedures

  • Coordinate company meetings, trainings, and events

Marketing Coordination

  • Oversee marketing timelines and ensure consistency across social media, branding, print materials, and online platforms

  • Coordinate with marketing staff/contractors to publish new listings, announcements, and company content

  • Track performance metrics for campaigns and listings

Finance & Reporting

  • Assist with budgeting, expense tracking, and financial planning alongside leadership

  • Generate weekly and monthly performance reports

  • Track KPIs for agents, listings, closings, and lead generation

Leadership & Growth

  • Identify areas for operational improvement and lead initiatives to enhance efficiency

  • Support recruiting efforts by preparing materials, coordinating interviews, and onboarding new hires

  • Provide strategic input to the leadership team related to growth and company goals


Qualifications

  • 3+ years in operations or administrative leadership (real estate experience preferred)

  • Strong understanding of real estate transactions, compliance, and MLS systems

  • Exceptional organizational and project-management skills

  • Proficiency in CRM platforms, Google Workspace/Microsoft Office, and transaction software

  • Strong communication skills and ability to lead a team

  • Self-motivated, detail-oriented, and comfortable in a fast-paced environment
